The Situation
FastFix operates in a business where speed wins. When a garage door breaks, homeowners want a tech there the same day — and they'll call 3–4 companies and book with whoever responds first. The owner had known for a long time that they were losing jobs to competitors because of missed calls and slow responses. The audit we ran confirmed it:
  • Internal call tracking showed 38–42% of after-hours calls (6pm–8am) went to voicemail — and only 11% of voicemails resulted in a callback within 2 hours
  • Web form leads had an average 3.2-hour first-response time during business hours and zero response on weekends

What We Built
We deployed a 3-part AI system over 10 days: an AI voice agent, a web lead intake automation, and an internal workflow routing system. Here's exactly what we built:
  • Deployed an AI voice agent (custom ElevenLabs + Vapi integration) trained on FastFix's full service menu, pricing, service area zip codes, and FAQs — available 24/7 on their main business number
  • The AI handled: greeting callers, capturing name/address/door type/issue description, providing rough pricing ranges, and offering to book a technician — passing fully qualified leads directly to CRM
  • Configured missed call text-back: any call not answered within 15 seconds triggered an automatic SMS to capture the lead
  • Built a web form AI intake: the contact form was replaced with a conversational intake widget — prospects answered 5 questions via SMS-style interface, resulting in 40% more form completions
  • Created internal workflow automations: when a lead was captured, an automatic Slack notification fired to the on-call tech with lead details and estimated job type — replacing owner's manual dispatch role on weekends
  • Set up call transcription and daily summary email — every AI-handled call summarized and sent to the owner each morning
The Outcome
In the first 30 days, the AI voice agent handled 241 inbound calls — 94 of which were outside business hours that would have previously gone to voicemail and been lost. Of those 94 after-hours calls, 61 resulted in booked appointments directly through the AI (65% booking rate). The web form AI intake increased form completion rate from 22% to 61% — a 2.8× improvement. Weekend dispatch time for the owner dropped from 6–8 hours to under 30 minutes.
